1.1. Add Workflow
The workflow can be added here for the selected modules like the Performance Assessment module here.

Salary Recommendation can also be mapped here.

1.2. Email Template Builder
This section is used by the admin to set up the email templates for various modules. But here we will check how to set up the email template for performance assessment.

Select the Module, select Module Page, select Type and Select Workflow (if available) from the drop down menu. The Name and Description are automatically displayed.
At the bottom you can add the Subject and Body there is certain Text Editor with bookmarks. These bookmarks are set as per the modules. The required bookmarks can be added to the body. There are HTML or Preview icons at the bottom. In the HTML you can copy the HTML code from source and paste here and preview it. Or create from the UI and preview it.
The email triggered after Performance Assessment initiation can be viewed in PerformanceManagement_Notification.
The email trigger after Employee submission can be viewed in PerformanceAssessment_Notification.
The email triggered after approval of form at each level {PerformanceAssesment_Transaction(Approve)}.
This email triggered after rejection of form at each level { PerformanceAssesment _Transaction(Reject)}.

1.3.1. Rating Scale
When a new onboarding takes place in an organization, the assessment type is already fixed.

Define Rating Scale based on Ratings / Measure / Weightage to get the score based on the formula selected. Add Rating Scale Name, Select Level, Minimum Rating, Maximum Rating, Definition, Remarks, Outcome Expected & Rating Color. Create Measure Based Rating & decide measure out of 100. Create Weightage Based Rating & select Level out of 5/10 etc.
2 types of ratings scale can be set.
1.3.1.1. Ratings
The Rating Scale is fixed by the admin by filling the Rating Scale Name, Select Level, selecting the status Active/Inactive and press go as shown below.

If the admin has selected 5 levels, then 5 rows will open to be filled. Here, the Minimum Rating Scale, Maximum Rating Scale, Definition, Remarks (Optional), Outcome Expected (Optional) needs to be filled in values, Rating Color needs to be selected from color pallet and then click on Submit. The pop up msg displayed as shown below.

The List of previously set Rating Scale is displayed below in a list. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.1.2. Weightage
The Weightage Rating Scale is fixed by the admin by filling the Rating Scale Name, Select Level, selecting the status Active/Inactive and press go.

If the admin has selected 3 levels, then 3 rows will open to be filled. Here, the Minimum Rating Scale, Maximum Rating Scale, Definition, Remarks (Optional), Outcome Expected (Optional) needs to be filled in values and Rating Color needs to be selected from color pallet and then click on Submit. The pop up msg displayed as shown below.

The List of previously set Weightage Rating Scale is displayed below in a list. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.2. Appraisal Cycle
The scoring method and Appraisal Type is predetermined in every organization.
Click autofill and below screen will be displayed
Appraisal Type
Admin can create the Appraisal Cycle based on the Appraisal Type i.e., Competency, Goal, KRA, KRA & Competency, Goal & Competency. They can select the Score Method i.e., Ratings Based or Weightage Based, Select Rating Scale, Performance Review Period, etc. Select the Performance Review Frequency i.e., Monthly, Quarterly, Half Yearly, Yearly. Admin can select Form Active Date, Form Submission Date for Employee, Manager, Reporting Manager, and select the Form type i.e. Standard Form or Customized Form.
There are 5 types of Appraisal Type.
- Competency-Based,
- Goal,
- KRA Based,
- KRA & Competency-Based,
- Goal & Competency
1.3.2.1. Competency Based
The Competency Based Appraisal Type has 2 subtypes- Rating Based and Weightage Based.
Rating Based
In this appraisal type Score method is Rating based, employees will be assessed based upon the selected ratings.is based on the Rating.

The Admin needs to filled up by Filling up the Assessment Cycle Name, Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date and select Rating Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Weightage Based
In this appraisal type Score method is Weightage based, employees will be assessed based upon the selected weightage.

The Admin needs to fill this up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Weightage Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Create Weightage Based Rating & select Level out of 5/10 etc.
1.3.2.2. Goal Based
Goal Based Appraisal cycle is created by selecting the desired freezed Goal Period.
There are 2 subtypes- Rating Based, and Weightage Based.
Rating Based
In this appraisal type Score method is Rating based, employees will be assessed based upon the selected rating.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Goal Period, Score Method, Start Date, End Date, and select Rating Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Weightage Based
In this appraisal type Score method is Weightage based, employees will be assessed based upon the selected weightage.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Goal Period, Score Method, Start Date, End Date, and select Weightage Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Create Weightage Based Rating & select Level out of 5/10 etc.
1.3.2.3. KRA Based
The KRA Based Appraisal Type has 3 subtypes- Rating Based, Weightage Based and Measure Based.
Rating Based
In this appraisal type Score method is Rating based, employees will be assessed based upon the selected ratings.

The Admin needs to fill up by Filling up the Assessment Cycle Name, Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Rating Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Weightage Based
In this appraisal, the type is based on the Weightage.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Weightage Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Create Weightage Based Rating & select Level out of 5/10 etc.
Measure Based
In this appraisal type Score method is Measure based, employees will be assessed based upon the selected measure.
The Admin needs to fill up by Filling up the Assessment Cycle Name, Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Outcome Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Create Measure Based Rating & decide measure out of 100.
1.3.2.4. KRA & Competency Based
The KRA & Competency Based Appraisal Type has 2 subtypes- Rating Based, and Weightage Based.
Rating Based
In this appraisal type Score method is Rating based, employees will be assessed based upon the selected ratings.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Rating Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Weightage Based
In this appraisal type Score method is Weightage based, employees will be assessed based upon the selected weightage.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Weightage Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Create Weightage Based Rating & select Level out of 5/10 etc.
1.3.2.5. Goal & Competency
Goal & Competency Based Appraisal cycle is created by selecting the desired, freezed Goal & Competency goal Period and has 2 subtypes- Rating Based and Weightage Based.
Rating Based
In this appraisal type Score method is Rating based, employees will be assessed based upon the selected ratings.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Rating Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Weightage Based
In this appraisal type Score method is Weightage based, employees will be assessed based upon the selected weightage.

The Admin needs to fill up by Filling up the Assessment Cycle Name. Select the Active/In Active and Form Type (Standard/Customized), Score Method, Start Date, End Date, and select Weightage Scale from the Dropdown. Then Click on Autofill to generate data and Submit.
Create Weightage Based Rating & select Level out of 5/10 etc.
1.3.3. Competency Dictionary
Admin can Create Competencies, Competency Definitions, etc. Admin can also upload Competency Dictionary through Excel Template. Admin can search competencies to add in the form from the list of Competencies based on the status/competency name.

Fill in the Competency Name and Competition Definition and click on Submit. Competency Bulk Upload can be done for which the template should be downloaded in Excel format, filled up, and uploaded by clicking the Upload File as shown in the above screen. Once the file is attached it should be uploaded by clicking Upload as highlighted in the above screen.
1.3.4. Goal/KRA Category
Admin can select the KRA or Goal.
1.3.4.1. KRA
Give a Category Name, Select the Active/In Active, Select Measurement Criteria & Measurement Levels (displayed when Measurement Criteria is selected Yes) based on the KRA Category. KRA Categories will be used in KRA and KRA & Competency Based assessment cycles.

Click Submit (as highlighted in the above screen) to create a new KRA Category.

Previously created KRA categories are displayed in a list below. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.4.2. Goal
Give a Category Name, Select the Active/In Active based on the Goal Category. Goal Categories are used in Goal Settings.

Click Submit (as highlighted in the above screen) to create a new Goal Category.

Previously created Goal categories are displayed in a list below. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.5. KRA Dictionary
To create KRA Dictionary, Define KRA, KRA Description, KPA Description, Assign Target. Enter From, To and Measurements. Admin can Upload KRA Dictionary through Excel Template. Upload the filled-up file in template.

Click Submit (as highlighted in the above screen) to create a new KRA Category.
Previously created KRA Dictionary are displayed in a list below. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.6. Goal Dictionary
To create Goal Dictionary, Goal Name, and Goal Description. Click on Submit as highlighted below.

1.3.7. Form Designing
Admin can configure the type of form here depending on 5 types. Competency, KRA, Goal, KRA & Competency, and Goal& Competency.
Appraisal Type & Combination, Configure Form Name, Configure Weightage Calculation, Configure Additional Content.
In Competency, define the Competency Section as showed add Form Name add Description.
Keep adding sections till total percentage should be 100, may be 1 or several rows can be added.
Can be added for individual or for cumulative.

Click Submit (as highlighted in the above screen) to design a new Competency Form. Define Competency Section with section name, percentage (total should be 100), map competencies and actions (add/edit).
Previously designed forms are displayed in a list below. The list can be exported in Excel, PDF or Word format by clicking respective icons.
In KRA, define the KRA Section as showed below

Click Submit (as highlighted in the above screen) to design a new KRA Form.

In Goal, define the Goal Section as showed below

Click Submit (as highlighted in the above screen) to design a new Goal Form.

In KRA & Competency, define the KRA Section and Competency Section as showed below

1.3.8. Goal Settings
Here the goals are set in goal form or goal and competency form.
1.3.8.1. Goal Form

Fill in the Goal Period Name, Period Start Date, Period End Date, and Active Till Date. Review Level, and Frequency Type (Monthly, Quarterly, Half Yearly, and Yearly) Level Name, From Active Date, Form Submission Date (Employee, Functional Manager, BU Head, Review Manager) and Submit.
The list of previously added Goal Settings are displayed below.
1.3.8.2. Goal & Competency Form
Fill out the Goal & Competency Form as the Goal Form.

1.3.9. Form Mapping
User can create multiple form mappings for an assessment cycle with different forms and unique mapping type. Once the forms are filled out they are mapped to the respective employees.

Select the Assessment Cycle Name, Form Name, Select the desired Mapping Type, select Designation and Submit.
There are five types of forms to be mapped
- Competency
- Goal
- KRA
- KRA & Competency
- Goal & Competency
The previously mapped list is displayed below in List of Form Mappings. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.10. Additional Components

The user needs to fill the appraisal types based on types of forms
- Competency
- Goal
- KRA
- KRA & Competency
- Goal & Competency

Add the details like selecting the Select Assessment Cycle Name, Component Name, and Component Type (Option Button, Check Box, Text Box), Display Order, Number of Choices to be given, Click the box Attach Evidence. Component Permissions section has option to select Component applies to from the dropdown, click on checkbox to Show (select manager level) and Submit.
Previously added Additional Components are displayed in List of Additional Components. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.10.2. For Goal Setting
Similarly, the user needs to fill the additional components for Goal setting here.

Fill in the Goal Setting by Select Goal Period, and Review Frequency type (Monthly, Quarterly, Half Yearly, and Yearly) Display Order, Number of Choices to be given, Click the box Attach Evidence. Component Permissions section has option to select Component applies to from the dropdown, click on checkbox to Show (select manager level) and Submit.
Previously added Additional Components are displayed in List of Additional Components. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.11. Employee Mapping
Here employees need to be mapped according to respective assigned projects.

The user needs to select Employee, Employment Type, Designation, Location, and Business Unit and search. For deleting or viewing the mapped employees, user can go to assigned list and after selecting the assessment cycle, click on go. The list of employees will be displayed below, select the employee and click Assign Appraisal. Previously added Assigned are displayed in Assigned List.

1.3.12. Appraisal Permission
Appraisal permission is used by HR to control, who can provide comments and ratings on the form. And from this page, HR/Admin can provide access to employee for viewing the manager`s comments and final ratings.

Select Employee, Employment Type, Designation, and Business Unit and search. Give permission for viewing various comments. Select View Manager Comments, Employee Comments Mandatory and Manager Comments Mandatory (Here you have to Select Managers) as per requirement. Select whether the Rating not Applicable For the managers from the dropdown list. Then click Submit to set Appraisal permission.
The comments of appraisal will be viewed according to the permission given according to company policy or requirement.
The List of previous Appraisal Permissions is displayed below. This is mainly for goal-based form and ratings. Here the appraisal or goal is initiated by the Admin User for the employees as and when required. If the comments are mandatory is selected it will be visible to the employee. The list can be exported in Excel, PDF or Word format by clicking respective icons.
1.3.13. Initiate Appraisal/ Goal
The user can initiate appraisal or goal by selecting For Appraisal Types or For Goal Setting respectively. After doing Form mapping and employee mapping, HR/Admin can initiate the cycle.

1.3.13.2. For Goal Setting

Fill in the Select Goal Period Name, and Submit.
Once the form is initiated it will go to the person concerned and he/she will be notified both by email and Notification.

1.3.14. Setup 9-Box Grid
This is the tab where configurations for 9-Box Grid is setup.

The Potential is in Y axis and the Performance on X-axis displayed from Low to High.
1.3.15. Reassign Appraisal/Goal Forms
If the L1 or L2 Managers are unavailable for assessment then it is reassigned to someone else.

Select Employee and then Select Route To (Select Level) and click Reassign.
1.3.16. Form Closure
The closure and finalization of goal and assessment forms are done here.

1.3.17. Custom Labels
Add Labels to various competencies and Goals here. These are actually for companies who want to customize particular names for columns according to their norms. It will be changed in all the forms throughout the organization.

Put the Competency Name, Competency Definition, Define KRA and submit. Popup msg is displayed as shown below.

1.3.18. Configuration
All the configurations for performance assessment are done here.

The Multiple Appraisal Cycle, Review Frequency Enabled, Calculate Save Changes, Reviewer Enabled, Assessment Tenure Enabled, Self Assessment Required, Display Employee Weightage Rating, Final Rating (Average of All Reviewers or Only Last Reviewer), Mapping For Appraisal, PMS Review Frequency Auto Initiation, Goal Review Frequency Auto Initiation, Employee can edit set goals, Actual final Score or Normalized Score, Additional Content For Form Design, Allow Ratings in Decimal, Notification For Goal Freeze, Performance Due Days, Allow Auto Save Changes, Employee Overall Comments For Goal Setting should be selected as per requirement of the project and company norms. There is option to enable View HR Comments and Inclusion of New Joinees (For Auto Initiation) if yes then select whether to consider from Date of Joining or Date of Confirmation.
To avoid confusion in employee assessment creation, there is a feature called hide Assessment Cycle Creation Related tabs from Performance Management.
