Employee Roster

For organizations which work in shifts, creating and managing rosters is important. The HR/ Manager user can create and manage rosters for the employees and deploy the tasks accordingly. The roster maps are created in the Admin Config of Attendance Management System , which can be used to map the employees by selecting the particular employee and Then Selecting Group and Shifts. The created rosters can be managed in the ‘Manage Roster’ sub tab. The rosters once created for one employee can be copied for other employees as well to save time. This tab has been enhanced to handle larger employee volumes more efficiently. These updates simplify template names, introduce flexible data entry, provide a transparent file tracking log, and allow simultaneous file processing.
 

To create roster we have to “Select Organization”, select the “Month & Year” and “Select Employee”, then we need to “Select Groups” and “Select Shift”. We can “Copy Previous Roster” and click “All Time” for making this roster permanent as highlighted in the below screen. Then click on “Submit” to create roster.
 


The rosters previously created details will be displayed as shown in the screen below.
 

We can export details in Excel format as highlighted in the above screen. You can view roster of an employee by clicking on View Roster as highlighted in the above screen.
The Manage Roster sub tab allows you to reset or submit created rosters for employees as shown in the screen below.


The Bulk Roster Upload can be selected to upload the rosters of employees in bulk.

 
Here, the admin can Select Organization, select Month & Year, Select Business Unit (optional), Select Employees then click the Downward arrow “   ”, to download the template, fill data and Upload the file.


Recent Activity Log: A new file activity grid is now available at the bottom of the page. It maintains a recent log of all uploaded files, tracking vital details such as File Name, processing Status, counts of Valid/Invalid records, who uploaded the file, and the upload timestamp. You can click the eye icon under the Action column to review file records.

Simplified Template Naming: The downloaded roster Excel files now feature a simplified and cleaner naming convention. Instead of long strings containing timestamps, files are now cleanly titled following a straightforward format, such as Roster-Template-[Month] [Year].

Free-Text Shift Names & Validation: To support quick copy-pasting from local spreadsheets, shift fields are no longer strictly locked to dropdown selection. Users can now manually enter or copy-paste any shift name as free text. If an incorrect or invalid shift name is typed, the system's file validation step will catch it, flag it as an invalid record, and allow you to fix and update it directly on-screen before final processing.



 Simultaneous Multi-File Upload: Users no longer have to wait for a large file to complete its processing cycle before uploading the next one. You can queue and upload multiple roster files simultaneously to boost administrative productivity.

 Partial Process Allowed: Checking the Partial Process Allowed checkbox enables the system to continuously process partial file uploads and distinct roster segments concurrently.

Template Types: The interface includes selections for Open Template (which allows adding new employee rows) and Lock Template. (Note: These button configurations are actively being streamlined for future layout updates).
